The agency's inquiries came in from property portals, the website, email and phone, with no single place to track them. Whether a lead got a reply depended on who happened to see it, follow-ups were forgotten, and serious buyers ended up with faster competitors. They reached out to stop losing clients to slow, messy lead handling.

I mapped the journey from first inquiry to booked call, identifying slow response times, manual qualification, fragmented lead sources, and missed follow-ups.

(Solution)

I built the system on n8n and had it live in 2 weeks. Every new lead is captured the moment it arrives and enriched with Apollo and Clay. OpenAI qualifies intent, structures key details and writes a tailored reply, the CRM updates itself, and the sales team gets a Slack alert for every qualified prospect.
